POSITION SUMMARYThe Aesthetic Retreat is seeking a highly motivated Patient Care Coordinator to join our close-knit team of three. As the first and last point of contact for our patients, you will play a crucial role in providing exceptional customer service and creating a welcoming atmosphere. With a focus on integrity and transparency, you'll assist in creating an unparalleled experience for our patients, ensuring they feel valued and supported throughout their journey with us. Our core values are the backbone of our practice: we are passionate, disciplined, accountable, educational, honest, and results driven.OBJECTIVESServe as the primary point of contact for patients, addressing inquiries, concerns, and providing personalized assistance to enhance their overall satisfaction. Ability to provide information about our services, products, and promotions with confidence and clarity.Coordinate patient care by managing ongoing appointment, consultation, and follow-up communications to ensure a seamless experience throughout each patients journey.Complete administrative tasks including KPI reporting, Alle/Aspire reconciliation, outreach for cancellations/rebookings, responding to Yelp/Google reviews, management and ordering of inventory, and document organization to support efficient operations.Provide support the owner with documentation and charting, ensuring accurate and efficient record-keeping and data management.Continuously strive for excellence by staying informed about industry trends, advancements in cosmetic injectables, and best practices in patient care, reinforcing The Aesthetic Retreats position as an industry leader.Actively seeks opportunities for professional development and growth, staying updated on industry trends.Demonstrates commitment to the core values in all aspects of the role and upholds the values and standards of The Aesthetic Retreat in all interactions with patients and colleagues.Maintain a welcoming and organized environment, contributing to the creation of a peaceful and relaxing retreat that defines The Aesthetic Retreats patient experience.COMPETENCIESHandle confidential information with discretion and professionalism, maintaining strict confidentiality in all personal and business matters.Strong organizational and multitasking abilities, with exceptional attention to detail.Proficiency in computer skills and knowledge Microsoft office software.Flexibility to adapt to changing priorities and work in a fast-paced environment.Strong communication skills, attention to detail, and a passion for delivering excellence in patient care.EDUCATION/EXPERIENCECustomer service experience required; medical spa experience preferred.Passion for the beauty and wellness industry.Previous experience in a customer service or receptionist role is preferred.High school diploma or equivalent required.PHYSICAL REQUIREMENTSAbility to stand and sit for extended periods and lift/move objects up to 30 pounds.Comfortable working in a medical spa environment with potential exposure to the sight of blood and needles.COMMITMENT TO DIVERSITY STATEMENTAt The Aesthetic Retreat, we embrace diversity and are committed to creating an inclusive environment where all individuals feel valued and respected.
